Be specific about the time commitment and format. "15 minutes Tuesday or Wednesday?" converts better than "let's find time to chat." Include a one-sentence reason why the meeting is worth their time, not a feature list but a concrete outcome: "I'll walk you through how [similar company] cut their ramp time by 30%." An email to schedule a meeting works when the recipient can immediately see the value of saying yes.

Not in the first email. The first cold email should earn a response by addressing a relevant problem. Once the prospect engages or replies, the book a meeting email becomes natural. Asking for a meeting in your very first touch puts the outcome before the relationship. If someone hasn't heard of you, asking for 30 minutes of their time is a big ask that most will decline.

State the time zone explicitly and offer 2-3 specific slots rather than a Calendly link (which can feel impersonal in cold outreach). If you don't know their time zone, propose "morning or afternoon your time" and let them choose. A meeting request email template should include the format (video, phone, in person), the duration, and at least two concrete time options.

Treat their reply as a buying signal, not a rejection. Answer their question or concern directly, then re-propose with a lower-commitment frame: "Happy to cover that in a quick call. Does Thursday work, or would you prefer I send over a short summary first?" A warm lead follow up email should give the prospect two paths forward so they can choose the one that matches their comfort level.
